Job Description/RequirementsWe are a small business looking to exploit growth and expansion prospects by having a small but efficient and dedicated team.Note:For consideration a candidate must provide soft copy of a cover letter, updated CV with 3 referees with mobile numbers for each - preferably previous employers and KCSE Certificate.The deliverables for the Operations Administrator are as follows;§ Support the Director’s Vision and Mission andparticipate in strategy development; as well as to Identify and addresschallenges and opportunities to ensure Business Growth.§ Oversee all the business operations including suppliers,staff, casuals and consultants, supervising and reviewing performance.§ Help promote a company culture that encouragesstaff performance and high morale.§ Help design and develop adaptable and wellsuited Products and Services.§ Communicate customer, staff and supplier issueswith directors and devise ways of improving the customer experience, includingresolving problems and complaints.§ Prepare business performance reports for andshare with the directors.§ Ensure day to day tasks are carried out in anappropriate, safe, cost effective and excellent way.§ Ensure timely compliance with all legal andregulatory requirements for the business.§ Undertake Corporate Sales to ensure the Corporatebusiness is able to attain the projected growth.§ Oversee Projects that may be done from time totime and ensure timely delivery on budget.§ Manage the corporate clients and undertakecorporate administration including quotations, invoicing, and collection ofpayment, and reconciliation, workflow management and ensure timely delivery ofgood quality work.§ Managing the online file sharing and Back UP cloudplatform.§ Managing the primary corporate email andtelephone, receiving and responding to clients.§ Checking through client's work before delivery,to ensure the right copy is sent to client and that the work is not corrupted.§ Organizing logistics for field work teams e.g. transportfood, snacks, drinks etc.§ Managing petty cash book e.g. keying in officeexpenses and suppliers payments.§ Following up with clients for review after deliveryof work for their feedback to help improve the service delivery.§ Maintaining office stationery, making sure allstationery is available for use.§ Managing the office diary e.g. keying in datesand times of events and booking engagements on Google calendar.§ Planning and preparing for events includingensuring all participants are well prepared, and all equipment is available.§ General office management duties.Minimum Requirements to apply for this position are as follows:-§ 2 to 3 years of experience in Administration.§ At least a Diploma in Administration, BusinessManagement or any related course.§ Knowledge of human behavior and performance;individual differences in ability, personality, and interests; learning andmotivation preferred.§ A sense of discretion and a high degree ofprofessionalism is required.§ Strong conflict resolution and negotiationskills.§ An intuitive ability to recognize andappropriately convey the sensitive nature of any situation and the ability tokeep all matters appropriately confidential is necessary.§ Demonstrates a highly professional andcooperative demeanor with directors and coworkers.§ Strong interpersonal, communication,facilitation and presentation skills.§ Proven ability to give, deny or ask forinformation in a tactful and friendly manner and discretion in givinginformation about plans and/or action to anyone is required.Desired skill set include the following;§ Strong attention to detail, well organized andable to multi-task.§ Good at data handling, Strong analytical andproblem solving skills.§ Ability to work independently and with minimalsupervision.§ Demonstrated ability to work in a small teamsetting.§ Flexibility to adjust and contribute tocontinually evolving work situation and changing priorities.§ Excellent computer skills, proficient with MSOffice applications, especially Advanced in Excel.§ Excellent organizational skills withdemonstrated ability to execute/ oversee projects on-time and on budget.§ Able to understand the vision of theorganization and offer leadership to other staff§ Good decision-making and people managementskills§ Is dependable, respectful and has good workingculture§ Is deadline-oriented and cares about theperformance of the organization.§ Good in Planning and Organizing of work, eventsand people.§ Able to influence and leading in the right direction,as well as delegate without losing control.§ Able to work long hours, agility to accommodate changingwork needs and has good stress tolerance levels.
